SheetCrew for Mailchimp: user guide

Last updated October 22, 2026

Every feature, step by step. The menu is under Extensions → SheetCrew for Mailchimp.

Connect Mailchimp

  1. Open a Google Sheet and install SheetCrew for Mailchimp from Extensions → Add-ons → Get add-ons. During early access we install it for you.
  2. Open Extensions → SheetCrew for Mailchimp and choose Connect. The first time, Google asks you to allow it to edit the current spreadsheet. It can only see the spreadsheet you are in.
  3. Create your free SheetCrew account when asked. If you already use another SheetCrew add-on, you are signed in already.
  4. Paste your API key (ends in something like -us15). You find it in Mailchimp under Profile → Extras → API keys → Create A Key.

Disconnect removes your Mailchimp key from your Google account.

Mailchimp

Mailchimp bills for every contact in every audience, including unsubscribed ones, until they are archived. These tools find the contacts you are paying for but can't or don't need to email.

Find and archive contacts you're paying for

  1. Choose Load contacts…. Pick one audience by number, or leave it empty to load all audiences into the Mailchimp contacts sheet.
  2. Tick what to archive, using any of these:
    • Check unsubscribed and cleaned: contacts who unsubscribed or bounced.
    • Find inactive contacts…: subscribed contacts who joined more than the months you enter (6 by default) and have never opened or clicked.
    • Find duplicates across audiences: the same email in more than one audience. One copy is kept (subscribed first, then the earliest sign-up) and the others are ticked. Needs all audiences loaded.
    • Find risky addresses: malformed addresses, likely typos such as gmial.com or .con, throwaway inboxes, and shared role inboxes such as info@ or sales@. Role inboxes can be real customers, so review them.
  3. The Flag column says why each row was ticked. Untick anything you want to keep.
  4. Choose Archive checked and type ARCHIVE. Archived contacts stop counting toward your bill and keep their history.

Good to know: archiving is reversible. Adding the same email again later brings the contact back.

Edit names, merge fields and tags

After loading, edit First name, Last name, any merge field column (one per merge tag, such as COMPANY or PHONE) or Tags (comma-separated) right in the sheet. Then choose Save changes. Tags you add are applied and tags you delete from the cell are removed; only edited rows are sent.

Good to know: open and click rates only count campaigns Mailchimp tracked, and Apple Mail Privacy Protection can make some people look more active than they are.
